Shift close and Z report

The drawer balances and no difference gets lost

Know how much should be in the drawer before you count, close the shift with a quick count, and get a Z report that explains every riyal: where it came from, who took it and where it went.

Why the end of the night wears owners out

The cashier counts the drawer, there is a difference, and nobody knows why. A withdrawal nobody recorded? A return paid back in cash? A table that paid after the shift closed? A typical Z report gives one total that answers none of these, and the note explaining the difference is written on a scrap of paper and lost.

In Loqma, expected cash is worked out in front of you step by step, every deposit, withdrawal and drawer opening is recorded with its reason and who did it, the difference is stated in words, and its reason prints on the Z report itself.

How it works in Loqma

  • Expected cash, step by step

The drawer card shows the expected figure and what it is made of: opening float, cash sales, cash tips, deposits, withdrawals and cash refunds. You can check it by eye before you count.

  • Deposits, withdrawals and drawer openings, each with a reason

Every cash movement is recorded with its reason, time and who made it, and the screen shows expected cash now and after the movement before you confirm, so a stray zero is caught before it reaches the report. Opening the drawer without a sale is recorded too.

  • Closing with a quick count

A close screen with a keypad and banknote keys (+50, +100, +500), and an "Exact" button for when the drawer matches what is expected. The difference updates from the first digit and reads in words, "Short 15.00" or "Over", never a negative number someone misreads.

  • The reason prints on the report

The cashier writes why the drawer is short or over, and the reason prints on the Z report directly under the difference. The Z prints as part of closing, not as a second step someone forgets.

  • A Z report that answers every question

Sales, returns and net; tax, discounts and tips; the order type mix (dine-in, takeaway, delivery); every payment method with refunds against it; cash movements; items sold by size; and each staff member's share: what they took, their refunds and their movements.

  • The shift log

Every shift in the log carries the name of whoever opened it, its order count, its net, its expected cash and its difference, so you see which shift came out short without opening every report. Filter by cashier or period, and reprint the Z for any past shift.

The details that keep the figures matching

  • Print an X report at any time during the shift without closing it
  • A table that finished after the close and paid on the next shift counts its sale and its money on the shift that took the payment
  • A return with no money handed back does not change expected cash, so there is no phantom shortage
  • Online payments (payment links and table QR codes) sit on their own line, not mixed with card
  • A shift will not close while items added after payment are still owed
  • The drawer will not close while sales saved offline hold cash that has not synced
  • If the cashier recorded a card payment as cash, the payment method can be corrected without changing the amount or the shift
  • A count is required, so a shift is never closed at zero by mistake with the whole drawer booked as a shortage
  • A past shift opens read-only: what was counted, the difference and its reason
  • On the tablet and the desktop app, with shifts in the dashboard too

Common questions

An X report is a snapshot of the shift while it is open, printed whenever you like without changing anything. A Z report is the closing report: it prints when you close the shift after the count, carries the counted amount, the difference and its reason, and its figures are final.

Opening float + cash sales + cash tips + deposits - withdrawals - refunds paid back in cash. Every term shows on the drawer card, so you know where the figure comes from.

The difference is stated in words during the count, the cashier writes the reason, and the reason prints on the Z report under the difference. The difference stays in the shift log, so you can see which shift came out short and who opened it.

Yes. When each staff member picks their name and enters their code at the till, the printed Z carries a "By employee" section: what each person took and how many transactions, their refunds, and the cash movements they made.

The shift belongs to the branch's drawer. Staff work on it each under their own name and code, so each person's share shows on the report, and the log names the shift after whoever opened it.

Yes. Open any closed shift from the shift log to see it as it was, then press "Reprint Z".
