Purchasing and suppliers

Every delivery with its invoice and every riyal in its place

Record each delivery as it arrived, against the supplier's invoice; stock goes up and costs update on their own, and you know what you owe each supplier and what you have paid.

Why purchasing decides whether your dish costs are right

A dish's cost is only as accurate as the purchase prices behind it. Record deliveries roughly, let VAT slip into an ingredient's price, or spread the delivery charge over the cartons, and every cost and profit in the reports is wrong. If the supplier brought 8 cartons of 10 and 10 were recorded, the shelf holds less than the system thinks.

In Loqma, every delivery is its own document with the supplier's invoice number, date and VAT; cost follows a stated rule from the purchase price net of VAT; and receiving records what actually arrived.

How it works in Loqma

  • One purchase per delivery

Pick the supplier and branch, enter the supplier's invoice number and date, the items with their quantities and line totals, the VAT as printed on the invoice, and any extra cost such as delivery. Keep it as a draft until you are sure; when you submit it, it takes its number and stock goes up.

  • Cost without the VAT or the delivery charge

Each ingredient's cost is the average of your purchase prices net of VAT, since VAT comes back to you on the return, and without the extra cost, since that is part of what you paid rather than the ingredient's price. If stock reached zero, the cost starts again from the new delivery's price.

  • Returns to the supplier

From the purchase, press "Return items" to open a return linked to it, which never lets you return more than you bought on it. The return takes its share of the invoice's VAT. "Duplicate" opens a new purchase with the same items for the usual delivery.

  • Purchase orders received at the branch

Order from a supplier with a purchase order that goes through review and approval, and the branch sees at the till what is on its way and receives it when it arrives. If the delivery is short, record only the quantity that came.

  • Supplier invoices and their payments

Record your payments against a supplier's invoice and its status changes on its own: unpaid, partially paid or fully paid. So you know what you owe each supplier.

  • Buy by the carton, use by the gram

Each ingredient has a purchase unit and its factor, so you buy a carton of 12 tins or a 10 kg sack, and stock is counted in the usage unit your recipes draw from.

The details that matter in the books

  • A purchase gets its number when you submit it, so an abandoned draft leaves no gap in the numbering
  • Purchase VAT feeds the boxes of the VAT return in the dashboard
  • Find a purchase by its number or by the supplier's invoice number
  • An ingredient that appears on several lines of one delivery averages correctly
  • The purchases report shows the total per supplier
  • Two payments on the same invoice at the same moment never lose one
  • Purchase dates run on Riyadh time
  • Every delivery appears in the stock movements with its cost and its document

Common questions

Yes, each delivery is a purchase against the supplier's own invoice. That way every figure in stock and cost goes back to a document you can open, and when you buy the same things every day, "Duplicate" opens the same items for you.

Because purchase VAT is deducted from the VAT you collect on your return, so it is not a cost to you. Counted into the ingredient's price, every dish would look more expensive than it is and your margin smaller than it really is.

When you receive the purchase order, enter the quantity that actually arrived for each item. Stock goes up by what arrived only, and the cost is worked out on it.

From the purchase itself press "Return items" and choose the quantities. The return takes the stock out at the cost you bought it at, and it cannot exceed what you bought on that delivery.

Yes. Supplier invoices show, for each invoice, what is paid, what is left and its status, and you record payments against them as you pay.

Yes. The till lists the purchase orders on their way to the branch, and staff receive them there when they arrive. Creating and approving a purchase order is done from the dashboard.
